How do I issue a corporate press release for EIT Food?

EIT Food corporate press releases can only be written and published by the EIT Food core communications team.


If you think you have a great story for an EIT Food corporate press release, please contact communication@eitfood.eu at least four weeks in advance of the date you wish to publish. They will come back to you as soon as possible to discuss your idea.



What information should I provide to the core communications team?

When you contact EIT Food's core communications team, you will need to provide the following information:

  • What you would like to say and why 
  • How the story links EIT Food’s Strategy and/or overarching Missions  
  • Any time constraints or deadlines related to this story 
  • Any geographies or media audiences that you would like to target to feature the story 
  • Any other (partner) organisations involved    


If the story merits a press release, the EIT Food core communications team will work with you to develop the draft press release. The final version will need to be reviewed and approved at least five working days before we intend to share externally as this will need to be reviewed by EIT (please note – this is not five days before it is due to go live as we will need to factor in time to possibly share and pitch your release to media).   

Please note: if there are additional parties involved who require sign off, the timings will need to reflect this.    

Once the press release is approved, the EIT Food core communications team will share it with journalists and media organisations, and also publish it on the core News/Press section of the EIT Food website. 

The announcement of the press release should also be shared in the Partnership Group of FoodHIVE - you and/or the senior sponsor should do this if possible.  

 


How do I submit a regional press release?  

If you are an EIT Food regional colleague and wish to submit a press release, please inform the EIT Food core communications team (communication@eitfood.euat least four weeks in advance of the date you wish to publish your press release. We are required to pre-inform EIT communications of any intended press releases, and provide a draft for them to approve, therefore please provide the draft release at least 5 days in advance of the publication date. The EIT Food core communications team pre-inform EIT on your behalf.

Regional colleagues are responsible for publishing press releases on the relevant In Your Country pages and distributing to regional media contacts.  

 

Announcing your release via a post on FoodHIVE will also help to drive dialogue with the community. 



How do I submit my EIT Food partner or project press release?  

If you are an EIT Food partner and wish to issue a press release about a project funded by EIT Food, you should notify EIT Food at least four weeks in advance of the release and share your draft release no later than two weeks in advance with the EIT Food core communications team communication@eitfood.eu. 

 

When notifying EIT Food about your press release, please provide the following information: 

  • What is the topic of the press release? 
  • What is the intended release date? 
  • Are there any related media materials or images? 
  • Which countries are involved? 
  • Which partners are included? 
  • Is the press release potentially sensitive?
  • Has this been reviewed and authorised by your media or communications team?  

 

All press releases about a project funded by EIT Food must be in the EIT Food project release template. The template includes EIT Food and EU logos as well as the EIT Food boilerplate. Logos of all participating partners should be included in the header of the first page, and short boilerplate descriptions of the partners should also be included. Media spokespeople from partner(s) should also be included in the release.  

 

Please note, the version of the draft press release that you share must be approved by the relevant people/departments in your own organisation before sending it to EIT Food for review. 

 

You should also notify the relevant EIT Food regional Director or partnership contact about your intention to publish a press release as they may be able to help promote the story in the region. 

 

If you have accompanying materials to your press release, such as a flyer or a video, these also need to be provided to the EIT Food core communications team for review. 

 

Once published, please also share the press release – there are many ways to share a press release across our channels, such as the EIT Food website and FoodHIVE. 

 


How should I refer to EIT Food in my project press release?  

  • Any press release that refers to an EIT Food activity or project must mention EIT Food in the body of the main press release. It also must include the agreed EIT text in the opening paragraph: “EIT Food is supported by the European Institute of Innovation and Technology (EIT), a body of the European Union.”  
  • Any press releases referring to EIT Food must be factual and objective in tone and all statements/claims must be backed-up by reputable data and attributed accordingly.   
  • Any press releases that refer to EIT Food must include our logo and boilerplate.  
  • All comments from named EIT Food spokespeople need to be approved by EIT Food and include the spokesperson’s full name and job title.  Any reference to EIT Food’s data, research, insights or funding via the COVID-19 fund should be referenced and linked to the relevant EIT Food COVID-19 webpage.  

 


Timelines for sharing your press release with EIT Food for review: 

  • Notify EIT Food core communications team of the story at least 4 weeks in advance of when you intend to issue the release
  • Gain approval/sign off of your press release within your organisation
  • Share the approved draft press release with EIT Food core communications team 2 weeks in advance of when you intend to issue the release
  • Share a final version of the press release 3 working days in advance of the release date, as we will need to share this with EIT for review 

   

If these dates are not possible, please notify us no later than 6 working days in advance of the release date, ensuring your email is marked urgent.
